Shipping Policy

Last updated: January 2026. Please read this policy carefully before placing a shipment with Optimus Logistics.

1. Overview

This Shipping Policy governs all shipments booked with Optimus Logistics ("we", "us", "our"). By placing a shipment with us, you agree to the terms set out in this policy. We reserve the right to update this policy at any time with notice provided by email or on our website.

Optimus Logistics operates as a freight forwarder and logistics service provider. All shipments are subject to the applicable carrier terms and conditions, international trade regulations, and local laws of the origin and destination countries.

2. Booking & Order Confirmation

All shipments must be booked via our website, email, or through an authorised Optimus Logistics partner. A booking is confirmed only when you receive written confirmation from us with a shipment reference number.

You are responsible for providing accurate information including:

  • Correct recipient name, address, and contact details
  • Accurate description of goods, weight, and dimensions
  • Declared value for insurance and customs purposes
  • Any special handling requirements for the shipment

Optimus Logistics accepts no liability for delays or non-delivery caused by inaccurate information provided at the time of booking.

3. Transit Times

Estimated transit times are provided as a guide only and are not guaranteed unless specifically stated as a service level agreement in a signed contract.

Transit times may be affected by customs clearance, weather conditions, public holidays, or other circumstances beyond our control.

4. Rates & Charges

All rates are quoted in USD unless otherwise stated. Charges are calculated based on the greater of actual weight and volumetric weight (length × width × height ÷ 5000 for air; ÷ 1000 for sea and road).

Additional charges may apply for:

  • Remote area surcharges for deliveries to difficult-to-access locations
  • Fuel surcharges, which are reviewed monthly and applied to invoices
  • Oversized or overweight handling fees for non-standard cargo
  • Storage fees if cargo is not collected within 5 business days of arrival
  • Re-delivery charges if the recipient is unavailable at time of delivery

All invoices are due within 30 days of the shipment date unless credit terms have been agreed in writing. Late payments are subject to a 2% monthly interest charge.

5. Prohibited & Restricted Items

The following items are strictly prohibited from shipment with Optimus Logistics:

  • Explosives, firearms, ammunition, and weapons of any kind
  • Illegal drugs and controlled substances
  • Counterfeit goods and pirated materials
  • Dangerous and toxic chemicals (unless pre-approved with full MSDS documentation)
  • Human remains, body parts, and live animals
  • Currency, bearer bonds, and negotiable instruments
  • Items that violate any applicable laws or regulations

Restricted items requiring prior approval include hazardous materials (ADR/IATA compliant), pharmaceuticals, perishables, and high-value goods over $10,000.

6. Packaging Requirements

All items must be adequately packaged to withstand the rigours of international freight handling. Optimus Logistics reserves the right to refuse or re-package shipments deemed unsuitable at the shipper's cost.

  • Use double-wall corrugated boxes for fragile items
  • Fill all voids with appropriate cushioning material
  • Label all packages clearly with sender and recipient details
  • Mark fragile, liquid, or hazardous items with appropriate labels
  • Ensure all packages are sealed securely before collection

7. Customs & Import Duties

International shipments may be subject to customs inspection, import duties, and taxes levied by the destination country. Unless otherwise agreed, all duties and taxes are the responsibility of the consignee (recipient).

The shipper is responsible for providing accurate customs documentation including commercial invoices, packing lists, and certificates of origin where required.

8. Liability & Claims

Optimus Logistics liability for loss or damage is limited to the lower of the declared value or the applicable carrier liability limits. Standard air freight liability is limited to SDR 22/kg; sea freight to SDR 2 per kg or 667 SDR per package.

Claims for loss or damage must be submitted in writing within:

  • 3 days of delivery for visible damage
  • 7 days of delivery for concealed damage
  • 30 days of expected delivery date for loss

Claims submitted after these deadlines will not be accepted. Email support@optimuslogistics.online to initiate a claim.
